Information we collect

We may collect your name, email address, headset make and model, service requirements, fault description, photographs, quote and correspondence history, delivery details, payment records and information needed to deal with a complaint or service issue. Please do not include unnecessary personal or sensitive information in photographs or messages.

How and why we use it

We use this information to assess enquiries, prepare and manage quotes, arrange delivery, provide agreed services, take payment, return customer property, respond to questions or complaints, keep appropriate business and tax records, prevent misuse and establish or defend legal claims.

Our lawful bases are taking steps at your request before entering a contract, performing a contract, complying with legal obligations and our legitimate interests in operating, protecting and improving the business. We do not use quote details or photographs for marketing without separate permission.

Who receives your information

Information is shared only where necessary with service providers supporting the website, form and email delivery, business email, payments, postage or courier delivery, professional advice, fraud prevention or legal compliance. Quote details and photographs are sent to our protected business mailbox through our email-delivery provider and are not placed in a website quote inbox.

Some providers may process information outside the United Kingdom. Where applicable, we rely on the safeguards used by those providers. We do not sell personal information.

How long we keep it

Enquiries that do not proceed are normally deleted within six months. Quote photographs and routine service correspondence are normally deleted within twelve months after the enquiry closes or work is completed, unless needed for an unresolved issue. Invoices, payment records and information required for tax or legal purposes may be retained for up to six years. Information may be kept longer where reasonably necessary for an active complaint, dispute or legal requirement.

Security and cookies

We take reasonable steps to protect personal information and restrict access to the business mailbox. Images are converted to a standard format and checked before transmission. Limited technical identifiers may be processed for up to 24 hours to prevent automated abuse. No internet or email service can be guaranteed completely secure. The website does not intentionally use advertising or analytics cookies.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict the use of your information, object to certain processing or receive a portable copy. Contact us using the email above. You may also complain to the Information Commissioner’s Office at ico.org.uk.
